Camp Policies


Payment, Refund and Transfer Policy:

Payment:

Payment must be received in full for all known charges by June 1, 2019. For any additional charges added throughout the summer season (additional sessions, extended camp etc.), you will receive a separate invoice with a stated due date.

Refunds:

A refund (minus a $150 non-refundable application deposit) will be made if requested before June 1, 2019.
After June 1, 2019 a 50% refund (minus a $150 non-refundable application deposit) will be given.

Example of 50% refund calculation: If you have a balance of $285 on the session you wish to cancel, the $150 deposit will be subtracted first bringing the balance to $135. You will then be issued 50% of that remainder as a refund. In this case, $67.50.

$285 – $150 = $135

$135 x .50 = $67.50

The $150 application deposit will only be applied once per season. Any further cancellations will receive a 50% refund from the total balance owed on the session/sessions being cancelled.

$285 X .50 = $142.50

No refund is made for withdrawal or absence due to illness, family vacation or dismissal due to behavioral issues.

Transfers:

If you wish to transfer to a different session you may do so without penalty* as long as that session is within the same season (year). You may not transfer funds from one season (year) to the next.

*Camp families will be responsible for paying any additional funds associated with the transfer that go beyond the amount previously charged or paid.

Example: You wish to transfer from ½ day robotics camp to full day camp. You are responsible for the cost difference between the two programs.

Full Day Camp $285 – ½ Day Robotics $195 = $90 difference owed

*Camp families will be charged the current rate of the session they are transferring to. No early bird rates or pro-rates of any kind will be honored in the event of a session transfer.

Example: You signed up for 4 sessions in February at the early bird rate of $230/wk. Now you are adding a session in July which would incur a $290 charge. The rate of your original sessions $230 would not apply to your new sessions. The charge for the new session would be $290.

Drop off, Pick up and Extended Camp Policies:

Extended Camp Attendance Policies:

DC Summer Programs provides extended camp hours between 8:00 – 8:50am and 3:50 – 6:00pm. Normal camp hours are 9:00am – 3:30pm with normal drop off starting no earlier than 8:50am and normal pick-up ending no later than 3:50pm.

Unlimited Extended Camp Description/Rates:

Unlimited Extended Camp: Use as many sessions as you would like in a week without worrying about individual sign up times. This is a great way to save if you know you will be using this service most of the time. There will be no refund given if your attended sessions do not add up to the total funds charged if you choose to sign up for this option ahead of time.

Rate: $120/wk.

Drop in Extended Camp Description/Rates:

Drop in Extended Camp: Parents may choose to have their children attend extended camp without purchasing the unlimited option with proper notification of camp staff.

Drop off 8:00 – 8:50am: $10/occurrence
Pick up 3:50 – 5:00: $10/occurrence
Pick up 5:00 – 6:00: $20/occurrence

Drop in Extended Camp Notification Requirements:

AM Drop in: No notification is required to drop off between 8:00 and 8:50am.

PM Drop in: Except in the case of an unexpected emergency, parents must inform the camp office via email (summer@dccs.org), phone call (484)654-2425, or written notice before 2:30pm on the day you wish for your child to attend PM Extended Camp.

Extended Camp Authorized Pick up Policy:

All campers must be picked up by an authorized adult in order to be dismissed for the day. Authorized adults include only those on your authorized pick-up list as noted on our registration system or another designated adult whose name has been communicated to the camp staff before the time of pick-up so a proper I.D. check can be performed. We are not able to dismiss campers to sports practices without having an authorized adult sign them out. For Wednesday evening campfires, an authorized pick-up person must check out your child before 6:00pm and accompany them to the event in order to avoid late pick-up charges.

Late Pick-up Policy (applicable after 6:00pm):

Camp staff are scheduled to work until 6:00pm and have many commitments to attend to after camp hours. It is the expectation of DC Summer Programs that all campers are picked-up before 6:00pm. If a camper is picked up after 6:00pm the following charges will apply.

Pick up 6:00 - 6:10pm: $10/occurrence
Pick up 6:10 – 6:15pm: $20/occurrence
Pick up after 6:15: $1/minute in addition to the previously charged $20.

Early Pick Up Policy:

If you need to pick up your child from camp earlier than 3:30pm please follow the below procedures to ensure your child is packed up and ready to go when you arrive.

    1. If you know ahead of time that you need to schedule an early pick up, please provide a written note, email or phone call to inform camp staff before the day begins.
    2. We do recognize that unexpected things come up during the day that would require you to pick up your child early. In this case…
      Send an email to summer@dccs.org or call 484-654-2425 to schedule the early pick up as soon as possible.
    3. We are not able to accommodate early pick up times between the hours of 3:00 and 3:30pm except in the case of a true emergency. If you need to pick up early please plan on doing so before 3:00pm.
